A Divisional Disability Representative (DDR) is a trained staff member in each school, college, division, or administrative unit who helps employees or applicants, supervisors, and managers handle reasonable accommodation and leave requests in a way that follows the legal requirements. They are the only people in the division allowed to request, receive, and protect confidential medical information, and they work closely with Employee Disability Resources, Leave Coordinator and Compliance Administrator, Workers Compensation, and other necessary stakeholders. DDRs understand university policies well and help ensure that each employee is supported through the correct process.

Family, Medical, or Parental Leave
Divisional Disability Representatives (DDRs) can review your leave options when you are planning or requesting a family, medical, or parental leave. They will inform you of any actions that you need to complete, and any deadlines related to your leave request. They will provide you with appropriate paperwork for your leave, store your medical information in a confidential file, and issue leave approval notices to you and your supervisor.
Please note, in the contact list below, some divisions have a designated DDR for this purpose, noted as “FMLA only.”

Accommodation requests
If you request a workplace accommodation, your Divisional Disability Representative (DDR) will be your main point of contact and guide you through the entire process. The DDR will explain each step, help document your request, and describe how your medical information is kept confidential. They will review any necessary medical documentation and will work with you, your supervisor, and the Employee Disability Resources (EDR) team to identify reasonable accommodation options. You will receive the accommodation decision in writing from the DDR, and they will help ensure the accommodation is put in place promptly and check in to make sure it is working for you.

Sign language interpreting and/or live professional captioning (CART)
McBurney Disability Resources Center provides centralized services for applicants and employees to have access to Sign language interpreting and/or live professional captioning (CART). The Divisional Disability Representative (DDR) will collaborate with McBurney staff to arrange for the accommodation.

Workers Compensation
If you are injured at work, your Divisional Disability Representative (DDR) is a key support and point of contact. The DDR helps collect required incident information, keeps in touch with you and your supervisor about work status changes, and ensures updates—such as medical work restrictions, lost time, and leave changes—are shared with the Workers’ Compensation (WC) Coordinator. They can direct you to the WC Coordinator for claim questions, help coordinate temporary or modified work during recovery, and work with Payroll and Benefits to ensure your pay and WC restorations are handled correctly.
